This process is to make sure that the Weekly Future Famous Meetings are set in Asana regularly and accurately every Thursday at 4:15 PM Australian time. The task is going to be the “go to” tool for all the data and discussion points of the meeting. Archiving past meetings is important to be used as reference in the future.
Step 1: Duplicate the Asana task
Go to the Asana task and right-click on the Future Famous Meeting template.
Select Duplicate task, then rename it by removing the words “Duplicate of” and changing the date using this format (mm/dd/yyyy)
Click on Create New Task.
Step 2: Update the current task
Check if all the action items on the sub-tasks are done before marking them as complete.
Once done, drag the completed tasks to the corresponding folder.
Example folder: (Facebook, Amazon, GDN/Discovery, YouTube)
Put the irrelevant action items in the Archive section of the corresponding year folder.
Note: This will make the Asana task look clean and tidy.
Step 3: Send notes via email
Send your notes through email a day after the meeting.
Note: This is important to make sure that no action items are missed since the Future Famous team works as external contractors
Copy and paste your notes on the scheduled template either on the description box or as a comment below.
Step 4: Archive the scheduled template
Mark the scheduled template as complete.
Drag it to the Archive section on the corresponding year folder.
